Meeting notes are high-value and consistently poor. AI tools can improve both the process and the output. Here is how.

Meeting notes are some of the most important and most consistently bad documentation in most organisations. They're too long or too short, they miss the key decisions, they don't include clear action items, and they're distributed to the wrong people in the wrong format.

AI tools can fix most of these problems.

From recording to structured notes

The most efficient workflow: record your meeting (with the participants' knowledge and consent), upload the audio to the speech-to-text tool, get a transcript, and then use the document summariser to produce structured meeting notes from the transcript.

The structured summary should include: key decisions made, action items with owners and deadlines, open questions that need follow-up, and any context a person who wasn't in the meeting would need.

This workflow takes about ten minutes for a one-hour meeting. Manual note-taking and write-up for the same meeting typically takes longer and produces worse output.

For meetings you can't record

If recording isn't possible, take rough notes during the meeting and paste them into the document summariser after. Ask for a structured summary with action items explicitly called out.

Even rough notes ("discussed Q3 budget, Sarah said we need to cut 15%, John thought marketing should be protected, decided to come back next week with a revised breakdown, John to prepare options") produce useful output when you ask for a structured summary.

Generating action item lists

Ask the AI specifically for a bulleted list of action items in the format "Who | What | By When". This format makes follow-through more likely because the accountability is clear.

Distribution format

Ask the AI to format the notes for the appropriate audience. Executive-level summaries are shorter and focus on decisions and business impact. Team-level summaries are more detailed and operational. Both can be generated from the same source material.
